Who we are

platform.theaiofficers.com is operated by Academy Printers Private Limited, trading as The AI Officer Network, Block B, Warden Court, August Kranti Marg, Mumbai 400026, Maharashtra, India. This policy covers platform.theaiofficers.com. It does not cover the AI Officer Academy site. This policy explains what personal data we collect, why, and what you can do about it, under the Digital Personal Data Protection Act, 2023.

What we collect

• What you give us. Name, work email, mobile number, company name, website, role, and what you type into forms, questionnaires and messages to us. Your mobile number is stored as you entered it. We confirm it by sending a one-time code, and we record whether that confirmation succeeded.
• What using the platform creates. Your orders, call times, payment status, receipt numbers, and the history of those changes.
• Payment data. Payments are processed by Razorpay. We receive the payment reference, amount, method type (for example "UPI") and status. We never receive or store your card number, CVV or UPI PIN.
• What your browser sends. Pages viewed, device and browser type, approximate location, through Google Analytics, and only if you accept it on the cookie bar. The sign-in pages and the payment pages are excluded from analytics. More detail about the cookies we use is in our Cookie Policy.
• Company snapshot. If you ask for a snapshot, we read your company's public website to prepare it.

Why we use it

To run your account; to deliver the service you asked for; to take payment and issue your receipt note; to write to you about your order (we reply within one working day); to keep our services secure; and to understand how they are used so we can improve them. We do not send marketing you did not ask for, and we do not sell personal data.

Who we share it with

Service providers that run parts of our services for us. Each receives only what it needs to provide its service.

• Supabase: database and sign-in
• Vercel, Railway and other cloud hosting providers: hosting and background jobs. Write to hello@theaiofficers.com for the providers in use at any time.
• Resend: sending email
• MSG91: sending the one-time code that confirms your mobile number
• Razorpay: payments
• Firecrawl: reads your company's public website for the snapshot
• AI model providers: currently Anthropic (Claude), which helps prepare snapshots and reports. We may change or add AI model providers. We keep this list current, and you can write to hello@theaiofficers.com for the providers in use at any time.
• Google Analytics: usage measurement, with your consent

These providers process data in data centres around the world, including outside India. The AI Officer assigned to your company sees what they need to do the work. We disclose data where the law requires it.

How long we keep it

We keep account and order data while your account is open and for 24 months after your last activity, after which we delete or anonymise it. Payment and receipt records are kept for 8 years because tax law requires it. Analytics data follows Google's default retention.

Your rights

You can ask what personal data we hold about you, ask us to correct it, or ask us to delete it. Write to hello@theaiofficers.com. We respond within 30 days. Some records, such as payments and receipts, must be kept by law even after a deletion request. If you are not satisfied with our response, you may raise the matter with the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

Security

Connections to our services use HTTPS. Access is limited to the people who need it. Your company's records are separated from other companies' records, and we enforce that separation in the database as well as in the application.

Children

The platform is for businesses and working professionals. We do not knowingly collect data from anyone under 18.

We will post any change here with a new date at the top.
